We love this question, because the answer is simple and reassuring: you’re not just randomly assigned to someone. A lot of care and intention goes into the matching process, and much of it happens behind the scenes.

Here’s a look at how we do it at Hello Mental Health — from an administrative perspective.

Step 1: Learning About You (Before You Ever Meet a Therapist)

When you reach out to schedule services, the first thing we focus on is understanding your needs, not diagnosing or labeling anything.

Through your intake forms and initial communication, we look at things like:

  • What brings you to therapy right now

  • Whether you’re looking for individual therapy, an assessment, or another service

  • Preferences you may have (telehealth vs. in-person, availability, etc.)

  • Practical details like location, scheduling needs, and insurance considerations

From an admin standpoint, this information helps us see the big picture of what you’re looking for — not just what’s available on the calendar.

Step 2: Considering Practical Fit (Because Logistics Matter)

  • If we can accommodate your needs, and if not, you will be given referrals

  • What the next steps are

  • How to prepare for your first session

  • Who to contact if you have questions

We believe clarity reduces anxiety — and that’s something we can help with long before therapy officially begins.
